Events platform
The International Coaching Federation (ICF), world leader in the coaching network market, wanted to revitalise the International Coaching Week (ICW) that it organises every year in May. It also wanted this platform to benefit its 50,000 members and its network of national “chapters” in nearly 150 countries around the world all year round.
Adgensite developed the platform: ICF EVENT


On this occasion, the 50,000 members of the ICF global network are invited to offer free coaching sessions to anyone wishing to discover and develop their skills.
ICF wanted an online tool to enable all those involved – ICF national agency teams, coaches, organisers and participants – to create and manage all aspects of their coaching sessions directly online, whether the session is held via the Internet or not. This was visionary given that the 2020 pandemic has encouraged the development of online sessions.
In addition, ICF wanted to use this opportunity to enable its national representatives around the world (Chapters) to offer free or paid sessions throughout the year.
Adgensite has developed a platform where members can log in directly with their ICF access in order to create their events, introduce themselves (Biography) as well as any other speakers, describe their skills and publish training offers with all their criteria: subject, type, category, sub-category, date, time and Timezone, duration, country, language, quota of participants, CCE points to be acquired and all the useful details of their coaching sessions.
For ICF’s 50,000 members and audiences in nearly 150 countries, the platform incorporates a vast marketing automation module and automatically manages all emails in over 35 languages (!).


Event creationforms:
All ICF members around the world can simply log in to their account and create, edit and publish their events usingsimplified interface forms without having to manage the layout. All they have to do is fill in all the required criteria (around thirty for each type of event).
CCE points: the platform enables national representatives offering training courses toaward CCE points based on the quality and duration of their sessions. The platform includes a system of pre-validation of these CCE points by ICF’s international management.
Certificates the platform automatically and dynamically generates and distributes several types of certificate for download, obtained after effective participation in a coaching session, validated by the coach. These certificates provide CCE points which represent achievements according to international coaching standards.

Organiser and user accounts: these allow organisers to keep their training sessions up to date, manage and validate participants and send out certificates and documents. In some cases, they can also be used to communicate with the organiser.
For their part, participants can access their online account to find all their registrations, their attendance records and a trace of the sessions, including documents and certifications.
2,000 different transactional e-mails: the system includes 50messagetemplates sent automatically in 35 languages to confirm or warn both organisers and participants of any developments at an event. From the creation of the event to thedispatch of slides and certificates, including registration, deregistration, event modification or cancellation, payments and confirmations, for both organisers and participants. The emails are pre-written with a system of variables that retrieve event data and useful links depending on the context.
Added to this are all the emails for intermediaries and more specific training courses. In all, 2,000 types of message are sent out in 35 languages throughout the year.


TimeZone: the site manages the timetable of coaching sessions according to local time, as well as the time of each participant, so that anyone in the world can find out the date and time of events. This encourages people from all over the world to sign up.
Event calendars and multi-criteria event searches:
There are so many events that the platform deploys several calendars (5), including for archives, of different types of events with numerous search criteria, themselves generated from actual events so that searches are always fruitful.
Libraries of articles, podcasts and books: the platform enables coaches and the ICF’s international management team to publish articles, podcasts and books on their training courses, of which there are now hundreds on the site.
Online payment: for national chapters wishing to benefit from the platform, online payment solutions are integrated into their organisers’ accounts, enabling them to create paying events all year round.


Simplified back office with maximum autonomy for administrator management of the platform :
All the elements of the platform can be enhanced and updated. Adgensite has developed the back office so that ICF’s marketing department can manage countries, languages, events, documents, search criteria, emails and their variables, etc., without having to use a complex back office interface.
Finally, ICF’s management can manage all its advertising space for the many banners present in the public and private sections of the platform in an autonomous and simplified way.
IMMEDIATE SUCCESS
150% increase in sessions! 1,250 events, i.e. two and a half times more events in 2021 than the previous year.
This extraordinary success for the ICF was sustained by the Covid crisis of 2020-21, but it continued in 2022, since the number of events remained constant in 2022, and increased again in 2023 and 2024, with even more organisers.
