The international multilingual school in Lyon: Ombrosa.

A FIRST SITE THAT HAS ADAPTED OVER 16 YEARS!

After an initial site with Extranet created in 2003 by Adgensite, Ombrosa, the international multilingual school in Lyon, wanted to overhaul its historic site, which had been custom-built using a proprietary CMS developed in Java by Adgensite and which had evolved to adapt its functionalities over a record period of 16 years!


SEVERAL THOUSAND PROFILES TO MANAGE…

Ombrosa consists of 4 separate sites, 2 in Lyon and 2 in Savoie, and covers the whole range of schooling, from nursery school to high school, where French and foreign students take both French diplomas and their international equivalents.
The subjects and practical questions are therefore extremely varied.

Nearly 5,000 parent and pupil profiles, 4 other user profiles (staff, partners, etc.), 26 class levels, etc.

There are also 17 categories of news, 5 categories of administrative documents, 3 levels of posting priority , not to mention the sub-categories or new categories that the site administrators can create

And all this in 2 languages! French and English.

AN EXTRANET WITH CUSTOMER ACCOUNTS AND DATA BY PROFILE.

The school needs the site to adapt to all these different audiences.

Both for the public part: the public diary, information, news, events, etc

And for the private part: the school diary by section (nursery, primary, collège, lycée) and by class, and also several classes by level, the document extranet and its categories of useful documents.

Parents must also be able to connect seamlessly from the private Extranet to another administrative platform for grades, invoices, legal administrative documents, etc.

So there are 2 Extranets connected! The agency managed the gateway with this other Extranet.

A CONSTANT NEED FOR UPDATING.

All the changes in the life of a parent or pupil need to be easily operable. Pupils change class and level, but sometimes also family configuration (parents who split up, change partner/name, responsible parent), language options and activities, arrive or leave during the year.

The parameters for a child are sometimes complex, because the law gets involved and imposes rules for separated parents or blended families, and depending on the parental authority of each party, for access to notes, invoices, and so on. And then there are the siblings. The result is that several thousand profiles need to have access with specific, well-defined rights, and all this information needs to be kept up to date.

IMMEDIATE SUCCESS!

From the very first year, the site and Extranet were a huge success with over 200,000 connections to the private part (Portal) for a public of around 5,000 users, which represents around one connection per week for each user.

TECHNICAL PROFILE

The site and Extranet are based on the WordPress CMS, with a large number of specific developments in PHP. It deploys 200 pages in French and English, with an average of 200 news items per year, using a Workflow-type system to ensure the fastest possible updates in both languages.

The agency has developed specific, simplified tools to enable the school’s team to publish all relevant information quickly and easily in both languages.
It also has very simple systems for indexing content by class type, level and type of activity. Contributors can define priority levels for posting their news according to its importance or urgency.

The site has tools for alerting parents in an emergency in the event of a crisis. Last but not least, the site is optimised both technically and editorially for SEO and mobile first.
